Under general supervision, performs a wide range of routine and non-routine functions.
Provides operational support to the department and Management as needed (assisting the charge nurse at the Front Desk, coordinating patient transport and bed pick up, verifying availability of x-rays, managing and prioritizing phone requests, coordinating loaning and borrowing of equipment).
Responsible for ongoing interface and frequent communication with internal and external customers including physicians, office staff, patients and related departments (facilitates communication for surgical add-ons with anesthesia, surgeon, charge nurse, volunteer, etc.).
Employee is responsible for preserving relationships through effective, efficient and thorough completion of job duties.
Demonstrate/apply knowledge of computer systems and their applications for example MSM OR Management System and Meditech.
Complete MSM computer functions including surgery scheduling, logging, billing, and reports (selects appropriate case and preference card).
Utilize Meditech system to access and enter patient information.
Develop and maintain office organization - filing system, record keeping, messaging, orderly work environment, knowledge of office equipment.
Process and verify supply orders. Manage inventory for office related needs.
Respond to and resolve perioperative questions (from OR staff & management, unit staff, anesthesia providers and surgeons) and concerns in a timely manner.
Provide appropriate feedback to Supervisor/Coordinator regarding the needs and expectations of customers.
Respond to and resolve incoming inquiries from physicians, other departments, office staff, and patients (regarding patient information, surgical case information including add-ons, changes, and cancellations, equipment, supplies and x-rays).
Demonstrate ability to prioritize operations of the specific environment.
Prioritize requests from physicians regarding surgery issues.
Respond to emergencies by communicating effectively with nursing staff.
Respond to changes in the OR schedule - sends for patients accordingly.
Coordinate incoming and outgoing phone calls.
Level 2 Proficient (in addition to above duties)
Provide assistance with special events and/or projects as requested.
Create forms or spreadsheets to track or maintain department information.
Participate in quality improvement measures.
Level 3 Subject Matter Expert (in addition to above duties)
Support and participate in revising policies and procedures.
Design and compile routine or ad hoc reports.Qualifications:
Required: High School Diploma or General Education Diploma (G.E.D.)
Certificates Preferred: Specialty areas (CPR addendum)
Required: Three years related experience
Preferred: Knowledge of hospital environment and medical vocabulary desired
Required: Verbal and written communication skills
Required: Must be able to follow written and verbal instruction
Preferred: Basic computer skills, typing skills, experience with multi-phone lines and office equipment.
